EXHIBITOR SCHEDULE

Booth set up: 6:00 PM to 9:00 PM*

Monday, November 18:
Continental Breakfast, Monday Morning
Booth(s) must be ready by 7:00 AM.
The vendor area will be open from 8:00 AM to 5:00 PM.

Tuesday - Thursday, November 19-21:

The Vendor area will be open from 8:00 AM to 5:00 PM.

Wednesday, November 20: **Optional Dismantle day**

Tables may be taken down during lunch or at break time, but not while a session is in progress.

Friday, November 22: FINAL DISMANTLE

The Vendor area will be open from 8:00 AM to 5:00 PM.

Any booth that requires electricity, services, and or shipping MUST contract with the Orlando Marriott Lake Mary for the service. For more information, contact Michaela Jimenez at (407) 995-7008 or by email at Michaela.Jimenez@Marriott.com.

Electricity is not provided through the NHIA as part of the booth registration fee.

Conference Attendees visit the booths in the morning, during breaks, at lunchtime, and at the end of the day.

The National Homicide Investigators Association offers comprehensive training for law enforcement, detectives, crime scene investigators, medical examiners, and prosecutors across the North American Continent and internationally.

This conference will be a valuable opportunity to network with the attendees. This is an excellent time for you to meet directly with the people who will utilize your product or services firsthand.

NHIA EXHIBITOR RULES & REGULATIONS

ASSIGNMENT OF SPACE & PAYMENT

All exhibit space will be allocated on a first-come-first-serve basis, unless you purchase the Social Sponsor Ticket. Event management reserves the right to reassign booth space or make adjustments to the exhibit space diagram if necessary. Full payment is due at the time of contract submission or in the event that the monies have not been received by that date. Space will be assigned once the completed exhibit space agreement is received, with payment in full. No exhibitor may assign, sublet, or share the whole or any part of the space contracted under any circumstances without prior consent of the NHIA. Companies found to be subletting or sharing exhibit space will be asked to dismantle and leave the exhibit hall without a refund if prior consent has not been granted in advance. All requests for participation are subject to approval by the NHIA.

EXHIBIT SPECIFICATIONS

The standard exhibit space for this event will be as follows: Qty one (1) 6'x30" draped front table and two chairs. If a 2nd table is required, there will be an additional fee of $600. Floor props and vertical banners are accepted in your space. Please plan accordingly to not encroach on another exhibitor's space.

EXHIBITOR NAME BADGES

The exhibitor badge entitles the wearer to access the exhibit floor and the educational sessions unless expressly prohibited by the speaker. Exhibitor badges are issued by the NHIA to personnel actually staffing the booth. The name of the exhibiting company as it has been listed on the exhibit space contract up to a maximum of two (2) badges. Advise at NHIAinfo@nationalhomicideinvestigatorsassociation.org of any staffing changes for new badges.

INSTALLATION & DISMANTLE

Installation of the exhibits may commence at 6:00 PM on Sunday, November 17. The time may be earlier, but it will not be known until closer to the event. All exhibitors must be fully assembled and ready for display by 7:00 AM Monday  

November 18. Optional dismantling may begin Wednesday, November 20 during lunch break, the Final dismantling for those staying after Wednesday is Friday at noon. Exhibitors are not permitted to tear down during sessions, only during lunch or at the end of the day. NHIA Event Coordinator reserves the right to adjust the setup and tear-down schedule. The listed times in this prospectus are subject to change.

EXHIBITOR KIT

Upon receipt of a completed exhibit request, approval, and payment in full, an exhibitor service kit will be provided to each exhibiting company. This packet will include all necessary information and forms regarding booth personnel registration, inbound and outbound shipping of displays, display rental and furnishings, audio/visual rental, electrical service, utilities, and any other information that is pertinent to exhibiting,

SECURITY

Event management will not provide security services during exhibit setup and during hours when the exhibit hall is closed. While every precaution will be taken, neither the NHIA nor the Orlando Marriott Lake Mary (OMLM) assumes liability for exhibitor property. The ultimate responsibility remains with the individual exhibitors to protect their own property, and appropriate insurance protection is required. Please have Certificates of Liability (COL) available if event management requests this documentation.

CANCELLATION

Cancellations should be sent to NHIAinfo@nationalhomicideinvestigatorsassociation.org in the form of an email or a copy of your exhibit space registration, noting your intent to cancel, including the date and the name of the person canceling the space. Notice must be received no later than October 1, 2024. Exhibitors canceling by June 3, 2024, will receive a 100% refund. Cancellations between June 4 - September 30, 2024, will receive a 50% refund. NO REFUNDS will be provided after October 1, 2024.

LIABILITY

In consideration for the opportunity to display services and products at the NHIA Conference. The Exhibitor, its officers, directors, agents, and insurers agree to indemnify, defend and hold harmless the NHIA and OMLM, its owners, officers, directors, contractors, employees, and agents, its governmental entity, agents and employees from any loss, injury, suit, action, or cause of action expenses, or claims whatsoever resulting from any incident, accident, fire, theft, or any claim or any loss to any person claiming loss or injury, including any loss or damage to property of Exhibitor, its employees, agent or subcontractor, loss or injury to any manufacturer's demonstration participants, their employees, agents, guests, and general public. Said indemnification and agreement to hold harmless NHIA and OMLM, as aforesaid, shall include reimbursement for any costs, expenses, and reasonable attorney's fees incurred by indemnities. Further, any claim of damage to the property of the hotel resulting in the immediate assessment of damages against NHIA or OMLM from any act or omission of the Exhibitor, its agent, employees, contractors, and subcontractors shall be immediately paid or assumed by the Exhibitor. In addition, the Exhibitor acknowledges that neither the NHIA nor OMLM does not maintain any insurance to cover loss or damage to any property of the Exhibitor. Exhibitors are required to obtain commercial insurance to cover all losses and claims and are responsible for providing accurate COL. Documentation must be secured on the premises during exhibiting at the NHIA Conference by an Exhibitor. The Exhibitor shall present COL to event management at any time if requested.

RESTRICTIONS

Event management reserves the right to determine the eligibility of a company or its product for inclusion in the exhibits and reserves the right to restrict exhibits because of noise, methods of operation, materials, or for any other reason. Event management also reserves the right to prohibit any exhibit that, in their opinion, may detract from the general character of the exhibit hall as a whole. In such event, NHIA shall not be liable to any exhibitor for any refund of exhibit fee or expense incurred by the Exhibitor to exhibit. No signs will be affixed by any means to the walls, doors, or any other surface in the exhibit area, conference hall area, or any other area of the premise where the meeting takes place. Further, those organizations that have been assigned an official exhibit space must conduct all business activities from within their assigned booth space and may not impede traffic through the exhibit hall aisles and other areas to strictly, include coercing attendees away from the exhibit space or any other exhibiting company. During sessions, Exhibitors MUST TALK IN A HUSHED MANNER so as not to distract the attendees from their sessions. If it becomes a problem, the exhibitors will be asked to exit the Exhibitor area until the next break.
